The Account Modifier/Combiner in Dynamics GP makes it easy to make changes to your chart of accounts as your business changes. The Account Modifier can:
· Change one GL code to another.
· Combine two or more existing accounts ensuring that all transaction history follows into the new account(s). If history exists in both accounts, it is merged into the new one.
· Revamp your chart of accounts because you have outgrown your existing chart structure. Yes, you can change your entire chart of accounts without worrying about re-entering any historical transactions or losing your comparative reporting.
How to use the Account Modifier in Dynamics GP
Please note: There is no UNDO when using PSTL – meaning security to the tools should be limited to key personnel. A best practice is to have all users log out of the system while the current user signs in as an SA. Always back up the database before using a tool.
Open the Professional Services Tools Library and select Account Modifier/ Combiner and Click ‘Next’.
Account: The Account option is used to change individual accounts.
To change an account number:
1. Enter the old account number in the Account Number field.
2. Enter the new account number in the Convert to Account Number field.
3. After entering the account numbers, choose Convert to make the change throughout the system.
4. Choose okay. You will be asked if there are any combines to perform.
5. If you choose No, you will receive a report detailing which accounts were modified. If you choose Yes, the tool will combine these accounts. When the process is complete, you will receive a prompt to reconcile your open and historical years. Start with your oldest years (select History) and work your way through until the current year (Select Open).
6. Choose a report destination. The report will list all the account modifications and combinations that took place.
Range: The Range option is used to change a segment value for a range of accounts. For example if you want to change the department (last segment) for a range of accounts from 00 to 01.
To Change a range of accounts:
1. Select the range of accounts to be changed and identify what segment of the account structure will change from the Field Type drop down list.
2. After the account segment has been identified, enter a new segment value and choose Convert. The accounts will change throughout the system.
Please note, when using the Range convert option, combines cannot be done. If any of the changes require a combine, the change will not take place. If combines are required for many accounts, use the Import option.
3. When the process is finished, choose OK. You will be asked if you want to combine any accounts.
4. If you choose No, you will receive a report describing which accounts were modified. If you have accounts you wish to combine, choose Yes to combine those accounts.
5. When the combine process is complete, you will receive a prompt to reconcile your open and historical years. Start with your oldest years (select History) and work your way through until the current year (Select Open).
6. Choose a report destination. The report will list all the account modifications and combinations that took place.
Import: The Import option is used to change a longer list of accounts and the fastest way to revamp your chart of accounts.
How to combine or change multiple accounts from a spreadsheet:
1. Enter existing account numbers in the first column of data in the speadsheet, as you would enter it in the Account Number field.
2. Enter the new account numbers I the second column,, as you would enter it in the Convert To Account Number field.
3. Save your spreadhseet as a tab-delimited file.
4. Choose Import in the Select By field.
5. Choose the Validate button. Select the tab-delimited file and choose open to start the validation process.
6. If the validation report has no errors, choose Modify to proceed.
