How to Provide Your External Accountant Access to Business Central

While large organizations often have in-house accounting departments, small- and medium-sized businesses typically outsource at least some of their accounting tasks to an external firm. Being able to easily and securely provide an external accountant with access to the right reports and financial data is vital.


Microsoft Dynamics 365 Business Central allows you to provide your external accountant with access to the right data with a few simple steps. Once an accountant has provisional access to Business Central, they can utilize the ‘accountant’ role to access the most relevant financial-related information.


Inviting Your External Accountant to Your Business Central

The first step in granting access to your external accountant is to have your administrator invite them to your Business Central so they can work with you on your fiscal data.


1.Open the Users page.

2.Choose the Invite External Accountant action in the ribbon.

3.An email is made ready for you, just add your accountant’s work email, and send the invitation.

4.Once the invitation is sent, you will receive a confirmation message in Business Central and your External Accountant will receive an email message with Business Central instance link. External Accountant needs to accept the invitation in order to gain access to Business Central.


Important

The accountant’s email address must be a work address that is based on Azure Active Directory. If the accountant uses another type of email, then the invitation cannot be sent.

This task requires access to managing users and licences in Azure Active Directory. The user who sends this invitation must be assigned the Global admin role or User admin role in the Office 365 admin centre.


What Does Your Accountant See in Dynamics 365 Business Central?

First, your accountant will receive an invitation email. This email contains the text specified in the Welcome Email section of the Invite External Accountant wizard, as well as a custom link. When the accountant clicks this link, they will be taken directly to your Dynamics 365 Business Central account.


Dynamics 365 Business Central automatically provides your external accountant with access to the ‘accountant’ role in Business Central. This means that their dashboard is customized for easy access to all of the relevant data that they need, including financial reports, invoices, and more. Meanwhile, access to administrative tasks, security, and account settings are restricted.
