Microsoft released its latest Dynamics GP update in early October 2019 and the new features did not disappoint! Included with this roll out were several significant security workflow enhancements.
User Setup Workflow
This workflow is available in Workflow Maintenance under the Administration group. When active, it is shown on the User Setup window and if you add a new user or edit an existing user the change can be submitted through workflow to one or more approvers.
User Security Approval
This workflow is available in Workflow Maintenance under the Administration group. User Security allows you to make changes to a users access, the security role they are assigned and/or what modified reports they can access. With the User Security Approval workflow, you can require that these changes be submitted for review and approval.
When active, it is shown on the User Security window. Changes made in User Security will not become active until the workflow task has final approval.
Security Task Approval and Security Roles Approval
The last two new workflows from Dynamics GP 2019 are Security Task Approval and Security Roles Approval. A user is assigned one or more security roles. The security role is a compilation of what tasks a user might need to take when performing that role. The security task is a compilation of the operations such as window access or file access to allow the user to perform a task.
The Security Task Approval lets you edit the operations that are assigned to a task or create a new task; and if the workflow is active, the workflow actions will display on Security Task Setup.
The Security Roles Approval lets you edit the operations that are assigned to a role or create a new role; and if the workflow is active, the workflow actions will display on Security Role Setup.
No changes made for Security Tasks or Security Roles will be implemented until the workflow task has been approved.
